Title search is bottlenecking your closings. We can take it off your plate.

Every order that sits in the queue is a closing pushed back, a lender getting impatient, an underwriter flagging the file. The work is straightforward, but it’s high-volume, high-stakes, and almost impossible to staff for during refinance waves or portfolio runs.

Hitech BPO runs title search support as an outsourced extension of your team. Our abstractors and search specialists pull from county recorders, state databases, and tax authorities across 38+ states, then deliver a clean, commitment-ready search report into your title production platform. You keep the underwriting. We handle the searching.

Whether you’re a real estate title search company looking to scale capacity, a lender clearing a HELOC backlog, or an escrow firm trying to keep 24-hour SLAs through a volume spike, the answer is the same: hand the search work to a team that does this every day.

Stop Losing Deals to Document Delays »

The reasons title search work breaks down internally

Six failure modes we see when teams try to handle the entire search workflow in-house.

Turnaround drift during volume spikes

Refinance waves, portfolio acquisitions, and quarter-end pushes can double order volume in weeks. In-house abstractor capacity can’t move that fast, so 24-hour SLAs slip into 5–7 day waits.

Counties that haven’t digitized

Roughly a third of US counties still require some form of physical or in-person record retrieval. Without a ground searcher network, those orders stall.

Missed liens and recording gaps

Mechanic’s liens, HOA liens, municipal code violations, and unrecorded assignments break titles after closing. Generic search workflows skip these, which becomes a claim later.

Inconsistent report formats

Search reports coming back from multiple vendors, in multiple layouts, with fields named differently. Examiners spend time re-reading rather than reviewing.

Fixed cost on variable demand

Salaried abstractors are expensive when volume drops. Contractors are unpredictable when volume spikes. Neither flexes well.

Compliance and audit exposure

ALTA Best Practices, state-specific regulations. Every search touches sensitive data, and email-based vendor workflows create real compliance risk.

Six reasons title companies, underwriters, and real estate professionals choose Hitech BPO for scalable, high-quality title search and abstracting support.

How The Title Search Process Runs

From the order landing in our queue to the search report arriving in your platform.

01

Order intake

Submit through our portal, your title platform integration, or secure SFTP. Each order is logged with property details, search type, and SLA. Standard orders enter the queue immediately.

02

County and state record retrieval

Our abstractors pull the recorded documents: vesting deeds, mortgages, assignments, releases, judgments. For non-digitized counties, our ground searcher network handles the in-person retrieval.

03

Cross-checks and lien searches

Tax authority data, court records, UCC filings, and municipal lien sources cross-checked against the recorded chain. Mechanic’s liens, HOA encumbrances, and code violations surfaced.

04

Quality control review

Every report goes through a separate QC pass. Legal description, assignment chain, lien matches, and tax status verified independently before delivery.

05

Delivery in your format

Final search report delivered as PDF, structured data, or direct write into your platform of choice. Audit trail attached.

Title Search Support Services FAQs

What is a title search, and why is it necessary?

A title search is a review of public records to trace a property’s ownership history and surface any legal problems tied to its title. You need one for two reasons. First, to confirm the seller actually has the right to sell. Second, to catch any unpaid claims, liens, or disputes that could come back on you after closing. Without it, a buyer can take possession of a property and inherit someone else’s debt or a third party’s ownership claim along with it.

What types of title searches do you offer?

The full set: current owner (O&E), two-owner, 30-year and full searches, update searches, mortgage and assignment searches, property lien searches, property tax searches, commercial title searches, and tax sale searches. If you need something custom (auction-specific, reverse mortgage, HUD), we configure the search type to fit.

How fast are your turnaround times?

Standard turnaround for current owner and two-owner searches is 24 to 48 business hours. 30-year and full searches typically take 3 to 5 business days depending on county data availability. Rush options are available where county records support faster retrieval. Update searches usually return same-day.

Do you cover all 50 states?

Majorly. Our abstractor team and ground searcher network cover 38+ states. Where counties have digitized recording, we pull online. Where they haven’t, our local searchers retrieve in person. We don’t sub-contract searches to other vendors; the work runs through our team end-to-end.

How do you handle data security and compliance?

Our controls follow the SOC 2 Type II framework. All data is protected with AES-256 encryption, every engagement is covered by an NDA, and we operate on a zero data retention basis, meaning we don’t hold onto your information after the work is done. We’re also an active ALTA member, so our processes stay aligned with title industry standards.

What does title search outsourcing cost?

Per-search pricing varies by search type, state, and volume. Current owner searches start lower than 30-year searches; commercial searches price higher than residential. Most clients see 40 to 60 percent cost reduction compared to in-house abstractor teams once fixed overhead is accounted for. Volume discounts kick in at meaningful tier breaks. Send us a sample order and we’ll quote within one business day.

Can you handle high-volume portfolio runs?

Yes. We regularly run 500 to 5,000 search portfolios for REO operators, default servicers, and investors. The process is the same as single orders, but with bulk intake, parallel processing, and a delivery timeline scaled to volume. For very large portfolios we’ll set up a dedicated team and SLA.

What types of documents do you process in title support services?

We process the full spectrum of US real estate title documents including warranty deeds, quitclaim deeds, grant deeds, mortgages and deeds of trust, title commitments, title insurance policies, title searches and abstracts, mortgage files, property appraisals, closing disclosures, HUD-1 and ALTA statements, tax and judgment liens, UCC filings, releases, mortgage assignments, probate records, and compliance affidavits. If it’s part of a US real estate transaction, we can classify, extract, and validate it.

How does your AI technology help with title document automation?

Our platform combines three AI technologies purpose-built for real estate titles. OCR converts scanned and image-based documents into searchable text-including handwritten margins and legacy microfilm. NLP models trained on US real estate legal language identify and extract specific fields like grantor/grantee names, legal descriptions, parcel numbers, and recording details. Machine learning classifiers automatically sort documents into the correct categories and route them through configured workflows. Every extracted field carries a confidence score, and low-confidence items are reviewed by trained title specialists before delivery.
